PTO Committee Descriptions

The Madison PTO has many volunteers that work to enhance our students learning, help fundraise, and build our community. There are many ways to contribute to the success of Madison - whether you want to volunteer on a regular basis or help out for a one-time event. Please see our available volunteer opportunities for the 2025-2026 school year below. 

 

   
5th Grade Graduation Committee Organizes the 5th grade end of year celebration, class gifts, yard signs, t-shirts, etc. Will also work with the 5th Grade Yearbook Co-Chairs to ensure year-end celebrations are completed. This commitment will span the entire year. 
Bike Rodeo
Committee

 

3rd grade parents strongly encouraged to organize this event. The Bike Rodeo takes place within the first few weeks of school. The Hinsdale Police Department will be on-site to review bike safety and is the kick-off to registering bikes for children to ride to school. Planning will start in August. Committee members must attend the event and oversee volunteers. 

   

Book Fair

Chairs

Coordinate with Anderson Books to organize the Book Fair for Madison students. The committee will meet throughout the fall to plan and prepare for the fair in November. The committee is responsible for coordinating with Anderson Books, set up and take down, volunteering during the fair, utilizing software for purchases, and connecting with the PTO Treasurer (before, during and after the fair). Book Fair committee members must be able to volunteer during school hours and after school hours, including one weekend morning.

 

Centennial Committee

 

Will partner with Madison School and D181 to facilitate the Madison Centennial Celebration on September 20th, 2025. Must be able to attend the event.
Chicago Wolves Night Committee

Coordinate an evening for Madison families at a Chicago Wolves game. Committee members will choose the date, coordinate communication to Madison families, and must be able to attend the event.

Community Holiday Gifts Committee Community Holiday Gifts (CHG) is the largest recurring community outreach program at Madison. In partnership with HSC Family Services, Madison families fulfill the wish lists of dozens of families in our community. Responsibilities include arranging bins with Republic Services, creating the Sign Up Genius, coordinating and distributing gift labels, and collecting and organizing donations. Busy months occur November-December and requires one morning weekend for gift distribution.
Cultural Night Committee

Will assist in planning the 2nd annual Madison Family Cultural Night. This event will be held on a weekday evening (late fall-winter) in the Madison School gym and celebrate the many cultures within our Madison community through art, dance, food, traditions, etc.

Dash & Bash Chairs

 

Will help plan our family fundraiser in the fall. Will work with the Village of Hinsdale to coordinate and execute the "fun run" and all-school party after the run. Chairs must be available to attend the event. Coordination will begin mid-summer; the tentative event date is September 12th, 2025.

   
Daughter & Parent Night Chairs Will plan and coordinate the Daughter & Parent Night community event that will take place in the winter. Will oversee a committee to execute the event, Chairs must be able to attend. 
   
   
Daughter & Parent Night Committee Will assist the Daughter & Parent Night Chairs in planning this fun community event that will take place in the winter. Committee members must be able to attend the event. 
   
Family Bingo Night Committee
Will plan and execute fall, winter, and spring Family Bingo Nights in the Madison gym. Committee will work with the PTO Exec Board on planning, coordinate prizes, call the events, and communicate dates to the Madison community. 
High Interest Day Chairs Help plan a day of enrichment classes for 3rd-5th grade students. Chairs coordinate the class offerings and organize all activities day-of. Planning begins in September, and the event is in May. 

 

Hospitality

Chairs

Will coordinate hospitality for the school and staff. Current events include: first day of school coffee, parent-teacher conference dinner, and Teacher Appreciation Week. Will also manage monthly Bust The Breakroom sign-ups.

 

Hot Lunch

Committee

Will work with a third party company (Marla's Lunch) to plan hot lunches for Madison students throughout the year (1-2 per month). Volunteer opportunities to help day-of will be available at a later date through Room Parent sign-ups.

House & Grounds

Chairs

Will work with the PTO Treasurer to coordinate outdoor landscape that need maintenance throughout the year (outdoor living classroom, seasonal planter updates, etc.). Summer maintenance required.

Kids Care Club Committee
This is a fun and rewarding club for 3rd-5th grade students that help our community through service projects. Committee members will plan and execute monthly club meetings before school and events throughout the school year. Student grants are available through the District 181 Foundation.

Room Parent

Chairs

Oversees the Room Parent volunteers assigned to each classroom. Heavy communication and coordination with the PTO Exec Board throughout the year. Will also coordinate, order, and distribute supplies for classroom parties and oversee GiftCrowd teacher gifts. Individual class sign-ups for Room Parents will come out in the fall; this position oversees all Room Parents. 

 

School Supplies

Chairs

Coordinate with a third party company (Educational Products, Inc) to set up school supply orders for the upcoming school year. 

Season of Science

Committee

Will plan and coordinate the Son & Parent Night community event that will take place in the winter. Will oversee a committee to execute the event, Chairs must be able to attend. 
Son & Parent Night Chairs Will assist the Son & Parent Night Chairs in planning this fun community event that will take place in the winter. Must be able to attend the event.

Spirit Wear

Chairs

Will work with a third party company (SNFLR Swag) to design and coordinate the sale of Madison school spirit wear. Planning begins mid-summer and the sale happens in the fall. 
   

Staff Celebration Committee

Coordinate greeting cards for Madison staff throughout the school year - including birthdays and special recognitions.
   

Variety Show

Chairs

Organize Madison's annual Variety Show. Planning begins in the fall, the event takes place on a weekend in February. Chairs must be able to attend the event.

 

Variety Show Committee

Will assist the Variety Show Chairs in planning this fun, school wide show that takes place in February. Requires one weekend volunteer day. 

   
Welcome
Committee
Will coordinate activities to welcome new families to the Madison community (Paws house visits, welcome sign deliveries, playground meet-ups), including incoming kindergarten families and new student families throughout the school year. Majority of the work will happen in August before school starts; minor involvement when new families join mid-year.

Winterfest

Committee

Will plan the Madison family winter community event. Committee members will choose the date, plan entertainment, and arrange snacks for this fun event. Must be able to attend the event on a weekday evening. 

 

Yearbook Chairs

 

Will work to execute the 2025-2026 yearbook and coordinate with Room Parents and events Chairs / Committees to gather pictures of each grade and school events. Will organize and produce the yearbook through TreeRing. Monthly effort for content gathering & input, heavier involvement January-April. 

 

5th Grade Yearbook Co-Chair
5th grade parents will coordinate student photos and student/parent supplied content for the yearbook, and produce the graduation video. Busy months will be September-November for content gathering & input, heavier involvement January-April.
